Mode
One switch for all of it: every automation — the eleven emails and the ones added here — and the board changes (Contract Signed → Connecteam has its own, below). Each one can also be switched off on its own, below. They are Off now, because Monday still does all of it; Shadow writes down what would have gone or changed, so the two can be compared for a few weeks; Live does it from the workspace — only after leaving Monday.
Before the workspace sends anything
Turn off Monday's own automations on the Recruiting board first — all nine of them. If Monday's are still on, every one of these emails goes out twice: two welcome emails to each new clinician, two notes to payroll and to Medusind.
Type LIVE to confirm Monday's are off.
Nothing goes Live until you also press Save and go Live on the bar at the bottom.
Who the emails come from
Blank uses the workspace's normal sender — the one the clinician invites and the access emails go from. Another address must be on a domain Postmark has verified, or it will be refused.
Preview with a candidate
Preview and Send a test to me fill the email in with this candidate from the copy of the Recruiting board. Nothing is sent to them.
Automations
Emails send one email when a candidate is added or their status changes — the eleven Monday sends today, rebuilt word for word, and any added with Email when a status changes or Duplicate. Multi-step ones, built step by step, can also wait for a move into a group, a date or a Provider Staff Master Status, leave a notice, move the candidate or set a date — the two that come with it are Durant's onboarding email, rebuilt from his Monday workflow (one email for 24 contracts, and Parkview's without payer enrollment). Every one follows the mode above; a new one starts Off.
Contract Signed → Connecteam
When a candidate's status becomes Contract Signed, a clinician whose Contract Type is Full Time is added to Connecteam, with their Contract Type and Facility set, and gets the Connecteam app invitation. PRN, and anyone whose Contract Type is not clearly Full Time, is not added: they wait for approval on Add people to Connecteam, where an admin or an owner of MOR or Payroll confirms them and ticks whether they get the invitation. Anyone already in Connecteam is left as they are; a near name, a facility Connecteam's Facility list does not have, or a card with no mobile or email waits for approval too.
It has its own switch and does not follow the Mode above — Monday adds nobody to Connecteam, so nothing happens twice. Off does nothing. Test writes down in the log below what it would do for each signing, and adds and holds nobody. On does it. It is saved with the Save bar, like the rest of this page.
Add full-time clinicians to Connecteam by themselves?
From the moment you save, each Full Time clinician whose status becomes Contract Signed is created in Connecteam and sent the app invitation. Everyone else waits for approval on Add people to Connecteam.
Nothing changes until you also press Save on the bar at the bottom.
Recurring campaigns
Campaigns saved on the Clinician Pipeline to go out by themselves — every 2 weeks, every month or every 3 months, one email each, from the sender above with replies to the campaign's own address. Each has its own switch and does not follow the Mode above, because Monday sends none of them. Off sends nothing. Shadow writes down who each send would have gone to. Live sends — but only words an admin approved here; change anything about it and it sends nothing until it is approved again. Every send reads the board again, never emails anyone marked DNC, and checks Monday minutes before it goes.
Links
One list of the links emails carry. Write {link:payer-enrollment} in a subject, body or notice and it becomes that link's address when the email goes — so when a form moves, it is changed here once and every email that uses it follows. Up to 30.
Board changes
Monday also files each candidate into the group that matches their status, and stamps the Contract Signed Date when a contract is signed. These are rebuilt here too. Off does nothing. Shadow writes down where it would have moved them, and whether Monday did the same. Live makes the change on Monday through the workspace's Monday connection.
Doing it twice is harmless: a candidate already in the right group is left alone. Start Up Leads has no move — incumbents stay in the roster group they were loaded into. A status set when a candidate is first created doesn't move them, the same as Monday.
What was sent or changed, and what would have been
The last 100, newest first. In Shadow, nothing is sent or changed: each line is an email Monday should also have sent, or a change Monday should also have made, at the same moment. Open a line to read it.
